Every school and college needs ID card photos for hundreds or thousands of students, usually at the start of the academic year. When the photo day is well planned, an entire school can be photographed in a day or two with very few retakes. When it is not, classes are disrupted and cards are printed with wrong names or poor photos.
This guide explains how schools and colleges in Ranchi can organise a smooth ID card photo day.
1. Prepare the student list
The most important step happens before the photographer arrives. Share a class-wise list in Excel with each student’s name, class, section, roll number and admission number. This list is used to name every photo file, so the right photo goes on the right card.
2. Agree on the format
Confirm the photo size, background colour and cropping with your ID card printer. Most schools use a plain white or light blue background with a head-and-shoulders crop. Agreeing on this in advance avoids resizing and reprinting later.
3. Plan the schedule
- Fix a timetable class by class, with 10–15 minutes per section.
- Start with younger classes in the morning, when they are fresh.
- Assign one teacher or staff member to bring each class and help with names.
- Keep a slot at the end of the day for absent students.
4. Set up the photo station
We bring a portable studio with a backdrop and lights, so photos look the same whatever the weather or room. A quiet room or corridor near the classrooms, with a power point, works best. Students form a short queue and each photo takes less than a minute.
5. Dress code and grooming
Send a note to parents a few days before: clean uniform, neat hair, and no caps or sunglasses. A comb and mirror at the photo station help students look their best.
6. Check and deliver
Photos are checked for closed eyes and blur on the spot, so retakes happen immediately. After the shoot, each image is cropped, colour-corrected and named to match the student record. Files are delivered class-wise, ready for the printer, or we can arrange printing too.
Beyond ID cards
Many schools use the same visit for class group photos, staff portraits, annual day coverage and photos for the school website and prospectus. Combining these saves time and keeps a consistent look.
Checklist for the school office
- Student list in Excel, sorted class-wise, shared at least three days before the shoot.
- ID card size and background confirmed with the card printer.
- Room with power point and space for a queue reserved for the day.
- Class timetable shared with all class teachers.
- Notice to parents about uniform and grooming.
- One coordinator from the school office available throughout the day.
Privacy and data care
Student photos and records are personal data. A professional studio should use the student list only for naming the photos, keep the files secure, and hand over all images to the school at the end of the project. Ask your photographer how files are stored and delivered, and agree on this in writing if your school has a data policy.
For staff ID cards, the same process works with an employee list. Many schools photograph teachers and staff on the same day so that every card in the school follows the same design.
